By assisting the monumental task of constructing the digital infrastructure for two brand-new children’s hospitals, the No Moss team successfully implemented our ethos — adapt, innovate and grow — by creating a comprehensive and unified project management workflow in just 14 days.

Here’s how we did it.

The Initial Situation

The Sydney Children’s Hospitals Network Digital Health Redevelopment Program team was tasked with building the entire digital infrastructure for two new Children’s hospitals. The project required the establishment of more than 100 digital projects, from electronic parking systems and queue management software to in-room entertainment equipment, each requiring meticulous planning, approval and execution.

With so many complex responsibilities to manage, the program manager recognised the urgent importance of seeking help to adopt a more robust and streamlined approach, and reached out to No Moss for a solution to:

The Challenge

The challenges at hand were multifaceted. Firstly, the hospital’s redevelopment program team were concerned that our involvement might disrupt their existing functionalities. As a result, it was incumbent upon our team to take extra precautions to ensure that our work did not hinder the ongoing efforts of the build.

Given the critical nature of the hospitals’ digital infrastructure and the tight deadlines, there was also significant time pressure to deliver a bespoke project management solution that solved all of the current pain points and prevented future challenges — so we quickly got to work.

Our Solution

In response to the situation presented and its inherent complexity, we devised a strategic three-phase plan to streamline the Digital Health Redevelopment Program’s project management.

  • Phase 1: Interviews and Data Collection (3–4 days)

From the beginning, we recognised that understanding the unique nuances of a given project is paramount to its success. As such, our team engaged in 18 interviews and meetings with key stakeholders, including Project Managers, Coordinators, Change Managers, and the Program Manager. This process allowed us to identify the specific pain points and inefficiencies associated with the current system, ensuring we had a comprehensive grasp of the unique needs of each team.

Based on these interviews, we determined that building a simplified workflow was going to be crucial to the completion of the project.

  • Phase 2: Build and Iterate (4–5 days)

Armed with these insights, we embarked on the construction phase. Our team configured a customised report dashboard that not only tracked project progress but also addressed workload allocation, risks, and issues. We also developed dashboards that provided instant information in a digestible format and created documentation to explain exactly what we had built to assist further use. With the goal of striking the perfect balance between usability and comprehensive reporting, our team focused on creating a tool that perfectly resonated with the end-users.

  • Phase 3: Trim and Final Adjustments, Training (2–3 days)

With the new framework in place, we entered the refinement phase. This crucial step involved presenting initial versions of the dashboards and workflows to users and gathering valuable user feedback to guide further adjustments. In the case of change, we then held secondary presentations and training to ensure that the end users were well-equipped to navigate the new tool seamlessly.

Ultimately, our emphasis remained on simplicity and user-friendliness, steering clear of unnecessary complexity and the risks associated.

The Resulting Outcome

The result of this intensive two-week collaboration was transformative.

The Digital Health Redevelopment Team now had a unified tool that efficiently managed over 100 projects seamlessly. This consolidated platform tracked project progress, monitored milestones, logged risks and issues, displayed workload distribution, and even illustrated the physical site associated with each task.

The impact was profound.

It allowed the team to transition from managing projects across multiple siloed platforms and communication channels to a single consolidated platform. This not only improved efficiency but also instilled confidence within the team, who, freed from the stress of dealing with scattered information could now focus on their tasks, saving valuable hours and significantly enhancing productivity.
